Tenure and Promotion Guidelines for Departments

The Office of the Provost oversees the tenure and promotion process using the Online Promotion and Tenure (OPT) System. Department administrators involved in the process must take the PST710 course to gain access to the Online Promotion and Tenure Workflow in myUFL.

Status Changes for Academic Salary Plans

During a faculty member’s career, status changes may be required. Key information:

Status Change

  • Salaried Faculty: Submit a Position Update ePAF with a justification letter approved by the appropriate administrator.
  • Temporary (OPS) Faculty: Submit a Job Edit ePAF with an approved justification letter.

Increase in FTE

  • To increase a faculty member’s FTE, provide a justification letter and obtain approval from the appropriate administrator.
  • In myUFL:
  • Salaried Faculty: Submit a Position Update ePAF.
  • Temporary (OPS) Faculty: Submit a Job Edit ePAF.

Decrease in FTE

  • To decrease a faculty member’s FTE, provide a justification letter and obtain approval from the appropriate administrator.
  • If the reduction goes beyond the contract end date, readdress at the end of the current contract.
  • A permanent decrease in FTE must be approved by the appropriate administrator.
  • In myUFL:
  • Salaried Faculty: Submit a Position Update ePAF.
  • Temporary (OPS) Faculty: Submit a Job Edit ePAF.

Salary Increase

Inform faculty member via a letter of salary increase. In myUFL, submit a Job Edit ePAF along with an approved letter of justification by the appropriate administrator.

Staff (TEAMS)

Modifying a UF Employee’s Work Schedule/Compensation and/or Location

The university’s official workweek is Friday through Thursday, affecting work schedules and overtime calculations.

Modified Work Schedule

Modified work schedules deviate from the traditional schedule and must:

  • Remain within the defined workweek (Friday – Thursday).
  • Adhere to FLSA and UF policy requirements.
  • Obtain vice presidential approval.
  • Be based on workplace needs.

All work schedules are established at management’s discretion. Schedules lasting over 30 days should be updated in the employee’s position description.

Overtime

The officially designated workweek is Friday through Thursday at midnight.

Non-Exempt TEAMS

If non-exempt TEAMS employees work over 40 hours due to peak workload, they should be compensated in line with FLSA and UF policy.

  • Compensate with up to 120 hours for overtime compensatory leave or one and one-half times the regular hourly rate.
  • Supervisors must certify hours worked by employees.

Exempt TEAMS Employees

Exempt TEAMS employees don’t receive additional compensation for hours worked over 40.

Remote Work Location

Consider the Remote Work Location Agreement guidelines when considering remote work.

It’s important to:

  • Consistently apply usage regulations across the unit/department.
  • Verify that the employee can perform their essential duties remotely.

Working in an off-campus UF owned/controlled location doesn’t require the Remote Work Location Agreement. For occasional remote location requests, contact compensation@ufl.edu.
