Courtesy Faculty – Always Required

*Items marked with an asterisk must be completed and/or included before submitting your hire ePAF to Core HR for approval.

☐ Check Directory for Duplicate UFID – Prevents delay in system access for employee*

  • MyUFL > Main Menu > Identity Access Management > Identity Management

☐ Offer letter with a start and end date*

  • Approval from dean or vice president, per college of unit policy and procedure
  • Outlines responsibilities and assignment duties
  • Include explanation of how the appointment will benefit the applicant, the department, and the college
  • Research Questionnaire with Yes/No Box Checked
  • Use the correct Courtesy Faculty letter template from the Appointment Letter Library

☐ Curriculum Vitae

☐ Social Security Number or Temporary ID*

  • Peoplesoft requires the Social Security Number or Temporary ID as an identifier for the ePAF

Courtesy Faculty – If Applicable

☐ Approved Employment of Relatives – see 4.8 Nepotism Policy*

☐ RISC Clearance

  • Required for candidates being hired into research and/or research support positions
  • Clearance must be given prior to extending an offer to the candidate
  • RISC Clearance Process

☐ Temporary ID*

  • If the individual does not have a Social Security Number, the department should reach out to Payroll Services to obtain a temporary ID

☐ Verification of eligibility for rehire*

  • Only if receiving benefits under the Florida Retirement System (FRS) during the first six calendar months after effective retirement date, see 4.9 Limitations Policy

☐ Notice of Restrictions for Providing Services after Retirement

Courtesy Faculty – Foreign National Hires

  • The University of Florida does not allow courtesy faculty service from any foreign national not authorized to work in the United States. Examples include: H-4, O-3, L-2, F-2, M-2, TD, R-2, B1/B2
  • Current employees working on an H-1B visa are not eligible to serve as courtesy faculty. Immigration Compliance Services in UFHR can be contacted for questions on courtesy faculty service
  • Current J-2, H-4, L-2, and E-2 visa holders are also prohibited from courtesy faculty service unless they have employment authorization/EAD Card

Useful Information

  • There are three types of Courtesy Faculty appointments:
    • Courtesy (CO) – This modifier should be used for those individuals not currently employed by the University of Florida in any other capacity
    • Joint (JNT) – This modifier should be used to designate an employed faculty member who is performing responsibilities in teaching or graduate supervision in another department on a regular basis
    • Affiliate (AFFL) – This modifier should be used to designate an employed faculty member’s participation in some function of another department on an infrequent or occasional basis
  • The affiliate and joint designations identify those individuals who have another appointment(s), on campus, whereas the standard “CO” courtesy modifiers are exclusive to non-UF employees
  • Please note that UF employees should not be given a Courtesy Faculty appointment within the same department where they are currently employed
