What is Level 2 Screening?

Types of Level 2 Screenings

Level 2 screening is a comprehensive criminal background check that includes fingerprint-based checks for statewide criminal history records through the Florida Department of Law Enforcement and national criminal history records through the Federal Bureau of Investigation.

LEVEL 2

This type of check is typically performed on hires in the following cases:

  • Positions of trust or responsibility.
  • Working in sensitive locations.
  • Working in or volunteering with a youth camp or activity outside of the summer period.

LEVEL 2 – DCF

This type of check is typically performed on hires for:

  • University positions under contract with the Florida Department of Children and Families (DCF).
  • University positions with UF childcare facilities.
  • All summer camps (youth activities/camps held between May 1 and September 1). Please visit UF Youth Compliance for additional details and requirements on hosting UF sponsored youth activities and camps.
  • Florida 4-H programs (year-round).
    • Screening for Florida 4-H volunteers is managed by Florida State Headquarters and county 4-H Faculty. UF employees who work with youth in Florida 4-H programs will be processed through their respective departments.

Per Florida statute and Department of Children and Families guidelines, an employee or a volunteer cannot participate in any of the activities described above until the employee or the volunteer has been cleared by DCF. Employees or volunteers must be recertified every 5 years to maintain eligibility for continuous employment or service.

Breaks in service for 90 days or more will require re-screening. When an employee or a volunteer separates from employment or service that requires this type of screening, the hiring must notify Talent Acquisition & Onboarding by emailing HRSBackgrounds@admin.ufl.edu within 5 days of the employee’s or volunteer’s date of separation and their affiliation in DCF Clearinghouse in compliance with DCF background screening requirements.


Screenings Process

To begin the process, the appropriate department contact, usually a departmental administrator, departmental HR liaison, or youth activity administrator, must submit the appropriate background check request form.

LEVEL 2

Steps:

  1. Department submits the Criminal Background Screening Request Form
  2. Candidate schedules an appointment with Talent Acquisition & Onboarding via online appointment scheduler.

At the Appointment:

  • Candidate must present one (1) of the following:
    • Driver’s License
    • State Identification
    • Passport

Results:

Results usually return within 24 hours.

LEVEL 2 – DCF

Steps:

  1. Department submits the Criminal Background Screening Form
  2. Department collects a completed copy of either the Affidavit of Good Moral Character (for DCF funded positions, after school program, and summer camp/activity) or Attestation of Good Moral Character (Baby Gator) and retain it within the department.
  3. Candidate completes and submits the Clearinghouse Applicant Request Form (also titled Care Provider Background Screening Clearinghouse – Criminal Background Screening Request form) and Clearinghouse Privacy Policy Acknowledgment Statement to Talent Acquisition & Onboarding either by fax, campus mail, DropBox, or in person.
  4. Talent Acquisition & Onboarding will notify the department if a fingerprinting appointment is needed.
  5. If needed, the candidate schedules an appointment with Talent Acquisition & Onboarding via online appointment scheduler.

At the Appointment:

  • Candidate must present one (1) of the following:
    • Driver’s License
    • State Identification
    • Passport

Results:

Results usually return within 7 to 10 business days.

Sharing Results:

Talent Acquisition & Onboarding will transmit the Background Screening Result and Public Record to the department contact either via fax or DropBox. The department must maintain these documents on file for auditing purposes.

Administration:

The department must ensure their employees or volunteers who have been in continuous service are recertified every 5 years. To recertify, the department must submit a screening request form minimally 2 weeks prior to their employees’ or volunteers’ 5-year expiration date. When an employee or volunteer separates from employment or service that required this type of screening, the department must notify Talent Acquisition & Onboarding by emailing HRSBackgrounds@admin.ufl.edu within 5 days of the employee’s or the volunteer’s date of separation to end their affiliation in the DCF Clearinghouse in compliance with DCF background screening requirements.

Youth Camps and Activities

Other than Florida 4-H programs, all youth camps and activities must register with the UF Youth Compliance. In addition, all camp personnel – employees and volunteers – need to register and complete online training prior to beginning work. Additional information regarding youth camps or activities, including background check requirements, can be found by visiting the UF Youth Compliance. Florida 4-H programs must register with Florida 4-H State Headquarters.


Foreign Nationals Volunteers

Foreign national employees and students should seek consultation with the appropriate offices to ensure their volunteering activities do not have an adverse impact on their visa status, including F-1/OPT and J-1/Academic Training.
